You need to own it, or be about to buy it, and you need to know which company it is registered with.<\/p>\n<p><strong>A mailbox service.<\/strong> Somewhere the actual email is stored and sent from. This is usually either the mailboxes included with your web hosting, or a dedicated provider such as Google Workspace or Microsoft 365. Hosting mailboxes suit small teams with modest volumes and keep costs down. The bigger platforms cost more per user and add calendars, shared drives and stronger admin controls.<\/p>\n<p><strong>Access to your DNS.<\/strong> DNS is managed either at your domain registrar or at your hosting provider, and you need to be able to edit records there. Always copy the values from your own provider&#8217;s setup screen.<\/p>\n<h2 id=\"dns-records\">MX, SPF, DKIM and DMARC Explained<\/h2>\n<p>These four record types do different jobs. Understanding roughly what each one is for makes troubleshooting far less mysterious.<\/p>\n<h3>MX records: where mail is delivered<\/h3>\n<p>An MX record tells the internet which server accepts email for your domain. When someone emails hello@yourbusiness.co.uk, their mail server looks up your MX records and delivers there. If the MX records are missing or point somewhere stale, incoming mail bounces or vanishes into an old mailbox you no longer check.<\/p>\n<p>You can have more than one MX record with different priority numbers for redundancy, and your provider will tell you which ones to add. And the record needs to include every legitimate sender: your mailbox provider, your website&#8217;s contact form if it sends through a separate service, and any newsletter or invoicing platform you use.<\/p>\n<h3>DKIM: a signature that proves the message is genuine<\/h3>\n<p>DKIM adds a cryptographic signature to outgoing messages. The receiving server fetches the matching public key from your DNS and checks that the message came from an authorised sender and was not altered in transit.<\/p>\n<p>Most providers generate the DKIM key for you and give you a record to paste in. Microsoft&#8217;s own <a href=\"https:\/\/learn.microsoft.com\/en-us\/defender-office-365\/email-authentication-dkim-configure\" rel=\"nofollow noopener\" target=\"_blank\">DKIM guidance<\/a> makes the point that DKIM on its own is not sufficient, and that SPF and DMARC should be configured alongside it.<\/p>\n<h3>DMARC: what should happen when checks fail<\/h3>\n<p>DMARC ties the other two together. It tells receiving systems what to do with mail that fails SPF and DKIM, and it can send you reports about who is sending mail using your domain name. That makes it your main defence against someone spoofing your business in a phishing attempt.<\/p>\n<p>Start with a monitoring policy so you can see the reports without affecting live mail, then tighten it once you are confident every legitimate sender passes. POP3 tends to download messages to one device and leave the others out of step.<\/p>\n<p>Make sure encryption is switched on for both incoming and outgoing connections, which usually appears as SSL or TLS in the settings. They quietly contradict the new ones.
